Sample Data for Transfer/Adjustment within a Campus (Action Code 50)
This section provides a sample transfer/adjustment within a campus (Action Code 50) for purposes of illustration. Suppose that the Davis campus wants to transfer an existing asset from the general campus with a funding source of Federally sponsored to the Medical Center with a funding source of Other. The transfer transaction might look as follows:
Sample Transfer within the Davis Campus |
|
Transaction Field | Value |
UC Location Code 1—Major Location | 03 (for Davis) |
UC Location Code 2—Universitywide Indicator | 1 (Campus) |
Account Number | 122222 (maps to Account Group Code 102031, General Improvements-Campus) |
Fund Number | 12222 (maps to Fund Group Code 100200, Federal Grants (federally sponsored fund source)) |
Sub Account Code | blanks |
Record Type | 13 |
Asset Number (CAAN) | 12345 |
Financial Amount-Change Amount | $30,000,000 |
Action Code | 50 |
Transaction Description | Transfer to Med Center (or blanks) |
Transfer TO UC Location Code 1—Major Location | 03 (no change) |
Transfer TO UC Location Code 2—Universitywide Indicator | 1 (no change) |
Transfer TO Account Number | 133333 (maps to Account Group Code 102032, General Improvements-Med Ctr) |
Transfer TO Fund Number | 13333 (maps to Fund Group Code 103000, State Appropriations (Other Funding Source)) |
Transfer TO Asset Number (CAAN) | 12345 (no change) |
Intercampus Transfers (Action Codes 30 and 40)
Intercampus transfers are more complicated, since two different campuses must both send data. The general approach for handling intercampus transfers is for the sending campus to send a transfer transaction moving an asset from the existing key values to some arbitrary but mutually agreed upon key values. The receiving campus sends a transfer transaction moving the asset from the arbitrary values that exactly match those sent by the sending campus to the final key values at their campus. (This is similar to the mechanism of moving money to a temporary clearing account, and subsequently out of the clearing account to the final account.) Processing for depreciation will match these two separate transfer transactions based on the matching arbitrary intermediate values, and collapse the transfer, eliminating the intermediate values. (Basically, the sending campus transfer transaction moves the asset A to B, the receiving campus moves the asset B to C, and processing for depreciation will match the two based on B, and collapse the transfer into a single move A to C.)
For example, suppose that an asset is being moved from the Berkeley campus to Office of the President at the Davis campus. The campuses have coordinated on the transfer, and have decided to use the following values for the intermediate, temporary fields:
Field | Mutually Agreed-upon Value |
UC Location Code 2—Universitywide Indicator | 2 (OP) |
Account Number | 111111 (temporary account used for transfer) |
Fund Number | 11111 (temporary fund used for transfer) |
Asset Number (CAAN) | 8410 (new CAAN to be used at the Davis Campus, but this could be any value agreed upon by the two campuses) |
Once these values have been agreed upon, then the campuses would submit the following two transfer transactions:
